Building multi-step win-back campaigns

Segments, step timing, personalization tokens and the safety model.

When to use a campaign vs. the queue

  • Next moves queue - high-value leads that deserve individual attention.
  • Campaigns - automated sequences for segments too large to work by hand (typically your Dormant band).

Setting up

  1. Go to Campaigns → New campaign.
  2. Pick a target: a saved segment or hand-picked contacts.
  3. Add steps - each has a subject, a body and a delay (days after the previous step).
  4. Personalize with tokens: {{name}} and {{company}} are substituted per recipient (values are safely encoded - a contact's name can never inject content).
  5. Activate. The campaign runner processes due steps automatically every day.

Recommended win-back structure

  1. Day 0 - Reconnect. Short, personal, no ask. "It's been a while - here's one thing that might be relevant to you."
  2. Day 4 - Value. A concrete resource, case study or insight.
  3. Day 10 - Offer. A clear, time-bound incentive to re-engage.

Safety model

  • Contacts without a valid email are skipped and counted in the send log.
  • Each step logs sent/skipped counts on the campaign card.
  • A contact who becomes active again should be removed from the segment - review your campaign audiences weekly.
